What counts as one document?
One original, or one notarized copy, that receives its own apostille or legalization stamp. A certificate of analysis for one lot is one document. A notarized distributor agreement is one document, however many pages it has.
Is there a minimum term?
Three months to start, then month to month with 30 days' notice. The annual desk is prepaid for twelve months. If a quiet month has fewer than three documents, the $300 minimum still applies; that is what keeps your profiles, your page and your contact in place.
Who pays the government and consular fees?
You do, at cost, with no markup. They appear as their own line on your statement next to each document, with the authority or embassy that charged them, and the receipt is attached.
Can you put our purchase order numbers on the statement?
Yes. Send the PO or reference number with each document, or once for the month, and it appears on that document's line. Your accounting team can also receive the statement directly.
Can the stamped documents go straight to our importer?
Yes. Each document profile sets where the originals go: your office, your distributor, the importer's broker or the regulator. We ship by DHL Express with signature required and email the tracking number to everyone you name, in their language.
What about destinations outside the Apostille Convention?
We handle the embassy route too: authentication by Global Affairs Canada, then legalization at the destination's embassy or consulate in Canada. It costs $149 more per document, plus the consular fee at cost, and it takes longer, so we plan it with you and tell you the realistic date before you promise one to the importer.
Do we have to be in Québec?
No. Desks run from anywhere in Canada by courier. Documents issued in Ontario, British Columbia, Alberta or Saskatchewan go to that province's authority; federal documents and those from the other provinces go to Global Affairs Canada. Your courier costs are passed through at cost, or you ship on your own account.
Do you also handle our employees' personal documents?
Yes, at the desk rate, as long as they come through your desk: a diploma for a posting in Dubai or a police certificate for a work permit in Mexico is simply another document on the month's statement.
