Step by step

How the prepaid label works

Six steps, and only two of them are yours: print the label, drop the envelope. Everything else, including the address, the postage and the tracking, is already done.

  1. Free pre-check. Send us scans or photos of your documents and the destination country. We confirm the right authority, flag anything that would be refused and send you one written quote. Nothing to pay at this step.
  2. You approve, we send the label. Your prepaid Canada Post Xpresspost label arrives by email as a PDF, with you as the sender and our Laval office as the destination. Its tracking number is already in our system before you print it.
  3. Print and pack. Print the label on plain paper. Put the originals in a flat, rigid envelope, without folding anything, and tape the label flat on the front without covering the barcode.
  4. Drop it at any post office. Hand the envelope over the counter and keep the receipt. There is nothing to pay and no form to fill in. From that moment the envelope is in Canada Post's system, and you hold the tracking number.
  5. A photo the day it arrives. Xpresspost is signed for at our office. We email you a photo of your documents, check every page against the pre-check, and file with the authority the same business day.
  6. Back to you, tracked. When the apostille is issued you receive a colour PDF scan, then the originals return by Xpresspost with signature anywhere in Canada, or by DHL Express abroad.

We collect at your home or office, usually the same day if you reach us in the morning, and deliver the apostilled set back the same way. Nothing goes into the mail. Included.

Why we send the label instead of asking you to mail it

A prepaid label is safer than a stamp

Tracked from the moment you hand it over

The tracking number exists before the envelope leaves your hands, and we watch it from our side too. Our shipping checks run twice a day, so you are never the one who has to ask where it is.

Signed for at our end

Xpresspost requires a signature on delivery. Your envelope is handed to a person at our office, never left in a mailbox, and you get the photo to prove it.

No address to type, no service to choose

Our address is printed on the label. You do not pick between lettermail, Xpresspost or a courier, and nothing can be misspelled at the counter.

If the counter ever has an issue

It almost never happens, but if a post office cannot scan the label and you end up paying for shipping there, send us a photo of the receipt and we deduct that amount from our service fee.

  • The label taped flat on the front, barcode fully visible

Leave out

  • Forms, cheques and money orders: we prepare and pay everything for you
  • Photocopies, unless we asked for one
  • Staples, paper clips or lamination: an authority can refuse a damaged or laminated original
Not sure whether to send the small plastic card or the long-form certificate, or whether your document needs a notary first? That is exactly what the free pre-check settles before anything is mailed.
Common questions
Do I pay anything at the post office?
No. The label is prepaid and the postage is already on it. You hand the envelope over the counter, keep the receipt, and that is all. If a counter ever charges you anyway, send us the receipt and we deduct it from our service fee.
Is the prepaid label included in the price?
Yes. Shipping in Canada is a fixed $80, both ways: the prepaid label to send us your originals and Xpresspost back to you, signature on delivery. It is in your written quote before you approve anything. In Greater Montréal we collect in person instead, and in Laval you can drop off at the office, both included. Shipping never appears as "at cost, to be confirmed" on our quotes.
Which envelope should I use?
Any flat, rigid envelope: a cardboard document mailer from a dollar store, an office supply store or the post office counter. If you only have a paper envelope, slide a piece of cardboard behind the documents so nothing bends in transit. Do not fold a certificate to fit a smaller envelope.
Can I drop the envelope in a street mailbox instead of going inside?
Hand it over the counter when you can. The clerk scans it in front of you and gives you a receipt, so the tracking starts right away and you have proof of the drop. A mailbox adds a day of uncertainty for a document you cannot replace in an afternoon.
How long does it take to reach you?
One to three business days by Xpresspost from anywhere in Canada, a little longer from remote areas. We check every open tracking number twice a day and email you the moment your envelope is scanned as delivered, with a photo of the documents.
Can a relative in Canada mail it for me?
Yes. This is common for clients already living abroad whose documents are still at a parent's home. Tell us who is sending and from which city, and the label is made out in their name. They print it, pack the originals and drop the envelope; you follow the tracking from wherever you are.
I would rather use my own courier account.
That works too. Send your originals with any tracked service that requires a signature, to the address we give you when the quote is approved, and the $80 shipping line disappears from your quote. We recommend against ordinary lettermail: no tracking, no signature, no recourse.
Is it safe to mail my only original?
We think the honest answer is: safer with a tracked, signed-for label than in a stamped envelope, and safer with us than in your drawer while a deadline passes. Every leg of the journey has a tracking number, your documents are handled at a monitored, video-recorded location, and you get a photo on arrival.
