The problem

The act is signed in twenty minutes. The rest takes a month.

The notarial work is done. What follows is not notarial work — it is driving, queuing and chasing. And yet you are the one the client calls to ask where the file is.

The authenticity certificate

The Chambre des notaires must certify your signature before the Ministère de la Justice will issue the apostille. Roughly 20 business days standard, roughly 72 hours on urgent service — provided somebody goes and files it.

The client who isn’t there

Some of your clients are already in Spain, Portugal, Lebanon or Mexico. Someone has to collect the documents, move them through the chain and ship them over — and that is neither your profession nor your hourly rate.

The round trips

The client comes in to sign, leaves, has to come back to collect, then calls two weeks later to ask about the apostille. Every step burns reception time that is billable to nobody.

The wrong authority

An Ontario document sent to Québec comes back. An RCMP check sent to a province comes back. Routing follows where the document was issued, never the client’s address, and a mistake costs weeks.

What we run

Four services, à la carte

1. Pickup at your office

As soon as it is signed, we collect the act from your office, anywhere in Greater Montréal. Nothing to mail, nothing to park in a pending tray, nothing to explain to the client.

2. Filed at the Chambre on urgent service

We file in person, the same day we collect, and pick up the authenticity certificate as soon as it is ready. You get confirmation at every step.

3. Apostille at the Ministère de la Justice

We go straight on without the file passing back through your office. $66.50 per document, billed at cost with the receipt.

4. Delivery to the client

To their home in Greater Montréal, abroad with tracking, or back to you if you would rather hand it over yourself. Under your name if you prefer.

Bonus: pickup at your client’s address

Elderly client, reduced mobility, or simply overloaded? We collect the documents at their address and bring them to you for signature. They travel once — or not at all if you receive the act remotely.

Free pre-check

Before anyone drives anywhere, we confirm which authority owns each document and what would get it refused. If the file does not hold up, you know before you commit your client.

The ground rules

We do not touch your client relationship

  • No commission. Your fees are settled directly between you and your client. We take nothing from them and never touch them.
  • We do not advise. Viapostille is neither a law firm nor a notarial practice. Legal advice stays entirely with you.
  • White-label return, if you want it. The client can receive the document as coming from your office. Our role can stay invisible.
  • We do not solicit your clients. A file you send us stays yours. We follow up with nobody.
  • Billing your way. Direct to the client, or to your office on a monthly invoice if you would rather consolidate.
Send us a file

No minimum volume. One file is enough.

Reciprocity. Our clients regularly need a sworn declaration, a power of attorney or a notarized attestation before we can do anything at all. Those people are looking for a notary, often remotely, often in a hurry. If you receive acts remotely by technological means, or speak an additional language, tell us: we send those clients your way, with no commission either.
Common questions
Is there a minimum volume?
None. A one-off file is handled exactly like any other. Several offices call us two or three times a year, when a client moves abroad.
Do you take a commission on my fees?
Never. You bill your client directly, at whatever you set. We invoice our own service separately, to the client or to your office, whichever you prefer.
Will the client know we exist?
Only if you want them to. We can deliver the document as coming from your office, or introduce ourselves as your courier. Your call, file by file.
What if the document is from another province?
We route it to the right authority: Ontario, British Columbia, Alberta and Saskatchewan each have their own; everything else and all federal documents go through Global Affairs Canada. It changes nothing about your part of the work.
Do you cover my area?
Greater Montréal with pickup and delivery included: the island, Laval, the South Shore, the North Shore and Vaudreuil. Elsewhere in Québec we arrange a tracked courier at cost and handle the rest normally.
What timeline can I promise my client?
Roughly 72 hours for the Chambre on urgent service and roughly 10 business days for the apostille at the Ministère de la Justice, plus transport. We give you a range with margin rather than an optimistic date, so you can repeat it to your client safely.
